How to reserve a hotel with a travel agent in five steps
To reserve a hotel with a travel agent here, you send a few facts about the trip and the office does the asking. Below is the whole path from a first message to the morning you hand back the key, with who does what at each point.
Begin with how big a town you like
Some people sleep soundest where the nearest neighbor is across a field; others want a city block of restaurants outside the door. The form starts with that question. Tick one or more town sizes, name one of the nine towns if a stay appeals, and give a first night and a number of nights.
Then the office phones the desk
If your request reaches the office before 2 pm on a weekday, the office contacts the hotel or inn that same afternoon and asks which rooms are open for your nights, at what rate, with what deposit and under what change rules. If your dates do not work there, we look at the next town of a similar size before writing back.
One quote, in writing, by email
You receive one written quote by email. It names the lodging, the room, the nightly rate, the taxes the desk will add, any deposit, the check-in and checkout times and the lodging's cancellation terms. Reading it costs nothing and commits you to nothing.
Your approval sets the hold in motion
Reply to approve the quote. The office then asks the lodging to reserve the room in your name and forwards the lodging's confirmation the moment it arrives. If the lodging needs a deposit, it takes it from you itself, by its own means.
Checking in, paying, handing back the key
You check in at the lodging's own desk and pay there under its rules. After you leave, the lodging pays the office a commission. If anything during the stay needs attention, the desk is the first call; the office is the second, during phone hours.
Clock times along the way
- A request that reaches the office before 2 pm on a weekday gets its written quote by 10 am the next weekday; if a desk has not answered by then, the email says so and names the day the quote will follow.
- Your approval is passed to the lodging the same weekday if it arrives before 2 pm.
- After your approval, most lodgings confirm the reservation within a day; a small inn with one person at the desk can take two.
